Advertise your event ...Calendar and Emails
Avoid conflicts. Please check the web calendar and pick a date that doesn't conflict with another event. EOSARDA may not publicize an event if it could significantly impact attendance at an existing event.
Accompanying flyers should be in PDF or JPG format. (see box at right to convert files ►)

Attached flyers should be PDF files to ensure everyone can open the file.
Include in your email...
- the Name of your event, and
- the Date and Time of your event
This saves having to open and read your flyer to find the needed information.
... for Broadcast Emails

If your Broadcast Email contains a flyer, you also need to supply text to appear in the associated e-mail message. Such text is important to set the tone of the email and will encourage recipients to open your link or attached flyer.
Links to flyers or websites can be included in the text if you like.
More than one message may be sent for a specific event: typically there is one fairly far ahead to allow people to reserve the date and one nearer the time to act as a reminder. More than two might be considered excessive and might be rejected -- if too many messages are sent, they become counter-productive spam.
Size of PDF and JPG files
Saving a file in the PDF or JPG format can result in some VERY large files. Large files require more time to download and take up more room to store on our web servers, not to mention higher bandwidth usage/costs for those using cell phones. By optimizing your flyer it is not uncommon to end up with a new file that is up to 3 to 5x smaller than the original with little degradation.
- For PDF files, unless your flyer/file is extremely complex, there is usually no reason for a file to be over 200kB in size. If it is greater than 200kB, use one of the website links in the box to the right to reduce the size of your file before submitting it to the Calendar or to the Broadcast Emails. The 200kB is a rough guidline based on typical optimized flyers sizes on our server. If you've reduced the size of your file and it's still above 200kB, you might try using another program to do the optimizing (one program only shaved a measly 0.5kB from the file size; another program made it 8x smaller!).
- For JPG files it's harder to state a suggested size. However JPF files should also be optimized to make them quicker to load.
As a convenience to the webmaster and bulletin coordinator, please indicate that you know or have reduced the size of your file so we won't have to check every file each time. Tx
